Summer Lottery

The winter and summer room lottery is something that we are moving too now that we have more members and we want to the lodge to be fully used by as many members as possible.  It is not a true lottery, but the most efficient way to allocate rooms.  We have 12 rooms available on a Friday and Saturday night, which are in the most demand.

Ideally you will select the dates that you want and rank them 1-5 as the main dates you really want, followed by the remaining nights.  Realistically you will get the first five dates and possibly more, in the summer lottery, but possibly not in the winter lottery.

All the dates will be entered into the lottery calendar and any conflicts will be resolved by the ranking system.  As you may get all the dates you request and therefore need to prepay, it might be best just to select the dates that you really want and assume that you can get other nights through the summer, as and when needed.

Over the past year, Tyrol Ski Club membership has increased.  We now have approximately 25 families who have peak booking privileges.  This includes you, <name of Peak Member>.

With peak booking privileges you can book summer season rooms anytime after May 1 and winter season rooms anytime after November 1.  There are 16 rooms at the Lodge.  12 rooms may be reserved ahead by Members with peak booking privileges. 4 rooms are held back until 10 days in advance so that all Members have an equal chance to book some rooms.  All requests for the 12 available rooms for specific dates are allocated by lottery on May 1 and Nov 1 in accordance with Members’ priorities.

Please note the following important details:

1. Most if not all the rooms you request via the lottery are likely to be reserved for you.
2. Some rooms have already been reserved for legacy group bookings or for maintenance.

3. You must PAY FOR THE ROOMS you reserve WITHIN 48 HOURS after they are confirmed,
4. Rooms paid for in advance are not refundable except via room credit and only if they are canceled at least 11 days in advance of arrival. Credits are valid only until September 30^th.
5. Members with peak booking privileges may request room reservations for both peak and non-peak stays
6. Only one Member with peak booking privileges in your family may participate in the lottery.
7. To participate in the lottery, you must email your list of room requests to sports@tyrolskiclub.com prior to May 1.   A similar lottery will be run in October to book winter season rooms on November 1.

Lottery Methodology:

Regular peak stay bookings are awarded by a lottery on May 1 for the summer season and on November 1 for the winter season and then on a first come first served basis thereafter.

Lotteries are conducted as follows:

1. All advance booking requests received prior to the lottery will be assigned a random number generated by a random number generator.
   1. The Member must assign multiple booking requests a priority number (1st, 2nd, 3rd, etc.).
   2. Single stay bookings will be assigned a 1st priority number for the purposes of the lottery.
2. Bookings are then sorted in descending order by the priority number assigned (1 is first), then by the number of nights in the stay, followed by the random number generated.
   1. 1st priority goes to stays that are 3 nights or longer
   2. If a conflict occurs the highest random numbers are the first confirmed bookings.
   3. Bookings will be assigned from top to bottom, accommodating as many room nights requested as possible.
3. If the full number of nights in the booking is not available, the closest booking available to the requested booking will be made as an option for the member
4. Bookings are confirmed with payment by the member or released if the member does not confirm a booking within 48 hours.
5. All members with peak booking privileges may then book any available rooms thereafter on a 1^st come 1^st serve basis.
